Purpose of this article
This article explains what Data Requests are, how the four-stage workflow operates, and where to access the tool in Scaler. For step-by-step guidance on creating and managing requests, see Data requests: Creating and managing requests.
What is the Data Request tool
The Data Request tool lets you collect missing or updated data across one or more assets in a controlled workflow. You define exactly which fields recipients can edit, assign the request to the right people, and review every submission before it enters your database. All changes are tracked with old and new values, comments, and a full audit trail.
How the workflow operates
A Data Request moves through four stages.
1. Create: Select assets, choose the fields to request, add instructions and a due date, then assign recipients.
2. Submit: Recipients receive a secure link and complete only the fields you selected. No Scaler account is required for external parties.
3. Review: Submitted assets appear in your Sent requests dashboard. You can approve or reject fields individually, add comments, and request resubmission.
4. Approve: Approved data syncs directly into Scaler and is reflected in analytics, reporting, and exports.
Tip: Recipients only see the assets and fields assigned to them. No other data in your portfolio is visible to them.
