Purpose of this article
This article explains how to access, complete, and submit a Data Request when you have been asked to provide data by a client or internal team. You do not need a Scaler account to complete a Data Request.
How you receive a Data Request
When someone sends you a Data Request, you will receive an email notification. The email includes:
- A secure link to the Data Request
- The name of the requesting organisation
- Instructions or a message from the requester (if provided)
Click the link to open the request. No login or password is required.
What you can see and edit
When you open a Data Request, you will only see the specific assets included in the request and the specific fields you have been asked to complete.
You cannot:
- See other assets
- Access analytics or reports
- Edit fields that were not requested
This is intentional and ensures data security.
Entering data
Step 1: Select an asset
If the request includes multiple assets, select the asset you want to work on.
Step 2: Enter or update values
For each requested field, enter the required value, follow any instructions shown next to the field, and ensure units and formats are correct.
Some fields may be required, optional, or conditionally required depending on other values.
Step 3: Add comments (recommended)
You can add comments to explain assumptions, flag estimated values, ask questions, or provide context for reviewers. Adding comments helps the reviewer approve your submission more quickly.
Saving vs submitting
You can save your progress and return later, or submit the request when you are ready. Submitting sends your data to the reviewer for approval.
After you submit
Once submitted, your data is not immediately applied — the request moves into review. The reviewer may:
- Approve the data (it will be saved in Scaler)
- Reject the data and request changes
If changes are requested, you will receive another email with a link to update the same request.
Deadlines
If a deadline is included, submit before the stated date and contact the requester if you expect delays. If no deadline is shown, submit as soon as the data is available.
Responding to change requests
If your submission is rejected, review the comments from the requester, update the requested fields, add clarification if needed, and re-submit the request.
A Data Request may go through multiple review cycles. This is normal and expected.
Common questions
Do I need a Scaler account?
No. Access is provided through a secure email link.
Can I see other data in Scaler?
No. You only see the fields included in the request.
Can I download or export data?
No. Data Requests are for entering or updating data only.
What if I don't have the requested data?
Add a comment explaining the situation and submit the request.
