Platform walkthrough: Key tools and navigation

Learn how Scaler is organized across three portals — Analytics, Data Collection, and Reports — and how to navigate between company, portfolio, and asset levels.

Purpose of this article

This article introduces how Scaler is organized so you can find the tools you need. It covers the three main portals, how to switch between them, and how context levels (company, portfolio, asset) work. By the end, you will know where everything lives.


How Scaler is organized

Scaler is built around three portals, each with a specific purpose:

  • Analytics Portal — view performance data, charts, scores, and benchmarks (read-only)
  • Data Collection Portal — enter, edit, and configure data
  • Reports Portal — generate and manage ESG reports

You switch between portals using the primary navigation on the left side of the screen. The fourth item, Home, gives you access to Lumi (Scaler's AI assistant), the Knowledge Base, and release notes.

The global header

The thin bar at the top of every page shows your current context and lets you navigate between levels.

Context levels

Scaler has three context levels:

  • Company — see all portfolios at a glance, manage company-wide settings
  • Portfolio — work within a single fund or portfolio
  • Asset — drill into a specific building

Click any level in the header to switch. When you select a portfolio, the left-hand navigation updates to show tools available at that level. Select an asset, and the navigation updates again to show asset-level sections.

💡

Switching between Analytics and Data Collection preserves your context — if you are viewing a portfolio in Analytics and switch to Collection, you stay on the same portfolio.


Analytics Portal

The Analytics Portal is where you explore performance, trends, and insights. Everything here is read-only — you cannot edit data.

Company level

At the company level, the Analytics Portal shows an overview of all your portfolios with key metrics. You can also view company-wide performance across energy, GHG emissions, water, and waste.

Portfolio level

Select a portfolio to see a much larger set of analytics tools in the left-hand navigation:

  • Overview — portfolio KPIs and summary insights
  • Asset List — all assets with key metrics, data outliers, and KPI analysis
  • Performance — deep-dive dashboards for energy, GHG emissions, water, waste, certifications, tenant engagement, and ESG risk
  • Metrics — custom metrics tables you can save and export
  • Scores — portfolio-level scoring against GRESB methodology
  • Roadmap Analysis — model future performance against benchmarks and pathways
  • Risk & resilience — transition risk (CRREM alignment) and physical risk exposure
  • Map — spatial view of assets with climate and score overlays

The Performance section is where most users spend their time in Analytics. Each tab (Energy, GHG emissions, Water, Waste, and others) shows year-over-year trends on the left and an asset distribution chart on the right. You can filter, normalize views, and compare against targets.

Asset level

Click into any asset from the Asset List to see asset-specific analytics, including performance dashboards, meter analytics, scores, and roadmap analysis.


Data Collection Portal

The Data Collection Portal is where data enters and gets configured in Scaler. This is the portal you use when setting up your portfolio, entering consumption data, managing meters, or configuring emission factors.

Company level

At the company level, the Data Collection Portal shows a list of all portfolios with data completion status. Admins can also access company-level settings, including user management and reporting framework enablement.

Portfolio level

Select a portfolio to access the full range of data collection tools:

  • Overview — data collection status with quick links to Asset List, Meters, Bulk Template, Data Requests, Automations, and Bill Scraping
  • Asset List — manage assets, create asset groups, download spreadsheets
  • Alerts — data alerts and issues requiring attention
  • Data Requests — create, send, and track data collection requests to stakeholders
  • Meter List — all meters across your portfolio
  • Consumption Coverage — monthly coverage dashboard for energy, water, and waste
  • Reports — report data completion status
  • Roadmap Measures — enter improvement measures and acquisitions
  • Emission Factors — configure location-based and market-based factors
  • Targets & Benchmarks — define portfolio targets and comparison pathways
  • Settings — fiscal year, unit system, framework enablement

Asset level

When you select an asset, the left-hand navigation changes to show asset-level data sections. These are organized into logical groups:

  • Asset Characteristics — building details, construction, embodied carbon
  • Reporting Data — floor areas, reporting details, sustainability characteristics
  • Certifications — energy ratings, operational and design certifications
  • Meters & Consumption — energy, water, waste, and F-gas data entry
  • Assessments & Measures — risk assessments and building measures
  • Roadmap Measures — asset-level improvement planning
  • Financial Data — GAV, rental income, loan data
  • Building Units — leased or occupiable spaces within the asset
  • Document Library — evidence and attachments

Each asset section shows a completion indicator so you can see at a glance which areas still need attention.


Reports Portal

The Reports Portal is a dedicated hub for managing and generating ESG reports. It is accessed via the Reports icon in the primary navigation.

At the portfolio level, Reports shows an overview of all active reporting frameworks for that portfolio, including data readiness scores and submission deadlines. Each report card shows at a glance whether your data is ready.

Available reports include frameworks like GRESB, GRI, EPRA, EU Taxonomy, SFDR, and Data Export, depending on what has been enabled in your portfolio settings.

Click into any report card to see which assets have issues, then use the "View & Fix Issues" button to jump directly to the relevant data entry screen in the Data Collection Portal.


Quick orientation tips

  • The left-hand navigation always tells you what portal and level you are in
  • If you need to change data, switch to the Data Collection Portal
  • If you want to explore trends or performance, switch to the Analytics Portal
  • If you need to generate or check a report, go to the Reports Portal
  • Use the global header to move between company, portfolio, and asset context without losing your place
